Managing comp rounds
A compensation round (comp round) is a compensation period, with a start date and an end date, to which a comp tree and comp elements are attached. Comp rounds are applied to populations; exceptions can also be defined by population or profile in order to exclude a number of payees from the round. This enables you to fine-tune the compensation process and apply different compensation parameters for different populations payees and profiles.
This section of the v10 Web App enables you to:
Searching for a comp round
To search for an existing comp round in the list of existing comp rounds, proceed as follows:
Open the "Compensation" component by clicking the
icon in the application navigation bar. The component opens by default in the "Comp Rounds" section.
Enter one or several keywords in the Filter field, located above the list; the search is performed on-the-fly, as soon as you enter a character (i.e., you don't need to press Enter to start the search). The list of comp rounds is filtered out in order to include only the item(s) matching your entry, as illustrated in the following figure:

Viewing a comp round
To view the definition and parameters of an existing comp round, proceed as follows:
Locate, in the list of existing comp rounds, the comp round that you want to view (see Searching for a comp round).

Click the tile corresponding to the relevant round in the list. The definition of the comp round is displayed in a new page, which contains the following sections:
Properties: this section contains the basic properties of the comp round, such as its name and its date range
Configuration: this section specifies items such as the associated comp tree and the comp elements
Access: this section specifies which profiles and/or hierarchies have access to the comp round
Eligibility: this section specifies the populations that are eligible for the round

Editing a comp round
You can edit any comp round that exists in the system, regardless of its status.
To edit a comp round proceed as follows:
Open the comp round that you want to edit (see Viewing a comp round).
In the comp round configuration page, navigate to the parameter(s) that you want to change (for more information about comp round parameters, see Comp Round Configuration Parameters in Creating a comp round).

Confirm your changes:
If your comp round is in "Draft" status, click Save in the lower-right corner of the application window.
If your comp round is in "Open" or "Closed" status, click Publish in the lower-right corner of the application window.
Automatic updates within the comp round
When a comp round is fully configured, there are strong dependencies between various items within the comp round, namely the dates, the comp tree, the comp elements, the permissions and the exceptions. As a result, changing certain items will impact other items in the comp round.
The v10 application offers an automatic update mechanism for the following interdependent items:
Comp elements
Comp elements used in profile permissions
Comp elements used in exceptions
The automatic updates that the system performs are the following:

If you change the comp tree selected in the Select Comp Tree field
The elements selected in the Select Comp Elements field and in the Elements fields of the profile permissions are replaced with the new elements and selected by default
Exceptions are deleted

If you select new comp elements in the Select Comp Elements field:
The new elements are added to the Elements fields of the profile permissions and selected by default
The new elements are added to the Elements fields of the exceptions, but they are not selected by default

If you remove a comp element from the Select Comp Elements field:
The element is removed from the Elements lists, in both permissions and exceptions
Removing a permission date range from a comp round
To remove a permission date range from a comp round, proceed as follows:
Open the comp round that you want to edit (see Viewing a comp round).
In the comp round configuration page, navigate to the "Access" section.
Locate the profile whose permission(s) you want to change.
Click the
icon located in the far-right of the row corresponding to the permissions to be deleted.

Confirm your changes:
If your comp round is in "Draft" status, click Save in the lower-right corner of the application window.
If your comp round is in "Open" or "Closed" status, click Publish in the lower-right corner of the application window.
Removing an eligibility exception form a comp round
To remove a permission date range from a comp round, proceed as follows:
Open the comp round that you want to edit (see Viewing a comp round).
In the comp round configuration page, navigate to the "Eligibility" section.
Locate the eligibility exception that you want to remove.
Click the
icon located in the far-right of the row corresponding to the permissions to be deleted.

Confirm your changes:
If your comp round is in "Draft" status, click Save in the lower-right corner of the application window.
If your comp round is in "Open" or "Closed" status, click Publish in the lower-right corner of the application window.
Publishing a comp round
Once a comp round has been fully configured with all the required comp elements, permissions and exceptions, it can be published. Publishing a comp round means changing its status and making it available for use in the Individual planner.
To publish a comp round, proceed as follows:
Open the comp round that you want to publish (see Viewing a comp round).
If required, perform a last verification of the comp round configuration and adjust as required.
Click Publish in the lower-right corner of the application window. The status of the comp round is changed to "Scheduled". It will be available for the relevant hierarchy at the specified dates.
About comp round statuses
There a four statuses for comp rounds in the beqom application. In the context of comp rounds, the term "status" refers to the publication state of the comp round (i.e. its availability for use in the individual planner). The four statuses are the following:
Draft: the comp round is not published. It can be edited or deleted at any time, without any impact on the individual planner
Publishing: the comp round is being published. This status is visible when the publication of the comp round takes some time (for instance, if a very large population is used). The status is not automatically updated when the publication is done and the page needs to be manually refreshed
Scheduled: the comp round is published, but its start date is in the future. You can edit the comp round at any time, but there will be an impact on the individual planner (especially if you change populations, hierarchies, permissions, etc.; people can lose access). You can delete the comp round at any time
Open: the comp round is published and the current date is comprised within the date range of the comp round. You can edit the comp round at any time, but there will be an impact on the individual planner (especially if you change populations, hierarchies, permissions, etc.; people can lose access). You can delete the comp round at any time
Closed: the comp round is published, and the current date is after the end date of the comp round. You can edit or delete the comp round at any time
Cloning a comp round
The beqom application offers you the possibility to clone (i.e. copy) an existing comp round. This feature is particularly useful for situations where comp rounds are run at regular intervals, according to the same base. When cloning a comp round, the system applies a calculation logic that will push all dates defined in the comp round (including permissions and exceptions) according to the originally defined dates. For instance, if you are cloning a quarterly comp round, with monthly permissions defined, the system will apply to the new quarter the correct permissions with the new date ranges, according to the start date and end date of the new round.
To clone a comp round, proceed as follows:
Locate the comp round that you want to clone in the list of available rounds (see Searching for a comp round).
Hover your mouse cursor over the tile corresponding to the comp round in the list.
Click the
icon in the far-right of the tile. The "Clone Comp Round" contextual window is opened, as illustrated in the following figure:

Enter the basic properties of the comp round:
In the Clone Name field, type the name of the new comp round
In the Description field, enter the description of the new comp round

In the "Permission Dates" section, check the radio button corresponding to the behavior of your choice:
Adjust Forward Relative to New Start Date: if you check this button, then the dates of all the permissions defined in the original comp round will be adjusted according to the start date of the new comp round. In addition, when this option is selected, the End Date field (located at the bottom of the contextual window) is no longer displayed, because the date range (i.e., the duration of the round) of the original comp round is applied to the new comp round
Clear Permission Dates: if you check this button, all the dates of the original comp round are cleared, and you will need to define new date ranges
Select the start date of the new round in the Start Date field.
If you have checked the option Clear Permission Dates, select the end date of the new round in the End Date field.
Click Save. The comp round is cloned and the new comp round is saved in the system. You can now proceed to the configuration of the comp round according to your needs; for more information about comp round configuration, see Configuring a Comp Round in Creating a comp round.
Deleting a comp round
You can delete any comp round that is defined in the beqom application, regardless of its current publication status. Depending on the publication status of the comp round that you delete, the configuration message displayed by the system when you perform the operation will change.
To delete an existing comp round, proceed as follows:
Locate the comp round that you want to clone in the list of available rounds (see Searching for a comp round).
Hover your mouse cursor over the tile corresponding to the comp round in the list.

Click the
icon in the far-right of the tile. A confirmation message is displayed:
If the comp round is in "Draft" status, the system displays the following message: "Are you sure you want to delete the comp round?"
If the comp round is in "Open" status, the system displays the following message: "The comp round is currently active. By deleting the comp round, you will lose access to it. Are you sure you want to proceed?"
If the comp round is in "Closed" status, the system displays the following message: "This comp round is closed. By deleting the comp round, you will lose access to it. Are you sure you want to proceed?"
Click Delete in the message pop-up. The comp round is deleted from the system.
