Expanding view rights in process grids for non super admin users
With the implementation of the Share Views in process grids feature, only a few specific users have the possibility to administer process grids views directly from the (Undefined variable: CompoVariables_WA.Process). In the case you want to give the rights to create, modify, share, etc. views to specific users, further configuration is necessary.
This articles focuses on how to allow users to administrate views in process grids using teams.
Reminder
A few specific users are able to share process views without any additional configuration, as listed below:
- Super admin users
- Owner of the process grid
- Users part of a team with which a process has been shared with the “Modify” permission
Creating a Team
When the "Teams" Feature Flag is ON
When the Teams Feature Flag is enabled in the Web App, the operation is performed via the Team Builder section of the (Undefined variable: CompoVariables_WA.Admin).
To create a new team and add users to the team, proceed as follows:
- Open the (Undefined variable: CompoVariables_WA.Admin) and click Team Builder.
- Click the New Team button located at the right of the search bar. The New Team contextual window opens.
- Enter a name for the team (must be unique) and click Save. The new team is available in the list.
- Open the team. The team is opened in the "Team" tab.
- Click the "All Users" tab at the top right of the screen.
- Select the users you want to add to the team by checking the boxes at the left of the users first names. To search for specific users, see Filtering the List of Available Users.
- Click the Add to Team button at the top-right of the screen. A success message is displayed.
When the "Teams" Feature Flag is Off
The following section describes how to create a team when the Teams Feature Flag is disabled in the Web App.
To create a team for the users to whom you want to give the right to administer views, proceed as follows:
- In the beqom Admin Portal, open the (Undefined variable: CompoVariables_AP.Admin).
- Go to Functional Admin > Teams.
- Click the
icon. - Enter a name for the team and click the
icon. - In the list, select the team.
- Open the Team Users List tab.
- Drag and drop the available users from the right to the left column.
- Click the
icon. The team is updated with the selected users.
Sharing the Process to the Team
When the team is created in the system, follow the below steps to grant the team members the correct permissions to administer views:
- In the beqom Admin Portal, open the (Undefined variable: CompoVariables_AP.Design).
- Expand the Processes drop-down and select the process that you want to edit.
- Open the Share tab.
- Select the team in the Teams list.
- In the Assign Rights section, grant the team at least the Read and Modify permissions.
- Click the Save button. The members of the selected team are now able to perform the selected options to views in process grids.
Administering Views in Web App
Creating a View
To create a view that you will be able to reuse for a given process grid at any time during your work, proceed as follows:
- Open the process for which you want to create a view (see Viewing a Process).
- Perform all the customizations that you want to save as a view (see Working with Views).
When ad hoc customizations have been done, but not saved yet, a blue bullet is displayed next to the View button, as illustrated in the following figure:

- Click View, in the far left of the process grid toolbar. A contextual menu is opened, as illustrated in the following figure:

Creating a new view
- Enter a name for your view in the View field.
- Click Save. The new view is saved in the system and is automatically applied to the process grid. Additionally, the view management button (My Views) is now labeled as the name of the new view.
Sharing a View
To share a custom view to one or several profile(s), proceed as follows:
- Open the grid with which you want to work.
- Create a view that you want to share with one or several profile(s) (see Creating a View).
- Click the view management tool in the grid header.
- Click the
icon located at the right of the view name that you want to share.
- Click the Share View button.
- Select one or several profiles to share the view with, as shown in the figure below:

- Click outside of the contextual menu to confirm the sharing. The view is now shared to the selected profile(s).
