Creating an SSRS report subscription
It is possible, within the interface of the beqom Admin Portal application to create subscriptions for SSRS reports available in the (Undefined variable: CompoVariables_WA.Analysis) of the beqom Web Application and in the (Undefined variable: CompoVariables_AP.Analysis) of the beqom Admin Portal. Using this feature, it is possible to send reports, in PDF or Excel format, to selected populations on a scheduled basis.
This article describes the procedure to follow in order to create a subscription for a report, including the creation of a parameter table for reports that require the use of parameters.
Synchronizing the Table in beqom Admin Portal
Once you have created the parameter table, you need to synchronize it as a Report Subscription table in the beqom Admin Portal.
To do so, proceed as follows:
Open the (Undefined variable: CompoVariables_AP.Admin) of the beqom Admin Portal and then open the Technical Admin menu.
Click Synchronization & Data Security in the Technical Admin menu. The page opens and the grid contains the tables already imported in the application.
Click the import icon in the lower-left corner of the center panel. A new panel is opened under the grid.
Check the parameters table you have created in the list of available tables.
In the Select Type drop-down list, choose Report Subscription table.
Click the + icon in the lower-left corner of the panel. The table is synchronized in the application.
Creating the Subscription in beqom Admin Portal
To create the SSRS Report Subscription in beqom Admin portal, proceed as follows:
Open the (Undefined variable: CompoVariables_AP.InfoHub) and then open the Communication Workbench menu.
In the Communication Workbench menu, right-click the Report item. A contextual menu is displayed.
Click Create a new report. The report creation page is opened in the center panel of the application window.
Select the report you want to use in the Select Report drop-down list.
In the As field, select Subscription. Three new fields are displayed at the right of the As field.
Specify the start date and the end date of the subscription in the respective fields.
In the Type drop-down list, the type of distribution of the subscription:
EMail: the report will be emailed to the selected payees
File Share: the report will be created and stored as Azure Blobs accessible by the relevant people based on the parameters of the report, and according to the population selected in the To field.
In the Parameter Table field, select the parameter table that you have created and synchronized in the previous steps.
In the Format drop-down list, select the format of the report (Excel, Word or PDF).
In the File Name field, enter the name of the file that you want to use. If required, you can use variables such as @lastname, depending on your own environment.
Click the To button. A contextual menu is displayed.
Select the population that you want to define as the subscription target. The system uses the population as a filter for the parameters. For instance, if you have added values in the parameters table that include payees who do not belong to the population, then these payees will not receive the report.
Add a subject in the Subject field.
Define a body for the report.
In the "Schedule" tab, located in the column at the right of the configuration options, define the period: One Time, Hourly, Daily, Weekly or Monthly. This parameter, along with the start date and the end date determine the frequency at which the subscription will be refreshed.
Click the save icon in the lower-left corner of the panel to save the report subscription.
Viewing the Generated Document(s)
Once the report and the subscription have been correctly configured, the subscription will run at the scheduled date/time. After the documents have been generated, they can be viewed in the beqom Web Application interface, under Inbox > My Documents or Team Documents, and in the beqom Admin Portal interface, under INFO HUB>Document Library>Documents List View. Individual payees targeted by the report subscription will be able to see the generated documents in this page, as well as download them locally.
